FAQ

How do I upgrade FHCM?

Upgrading is a three step process. First, make absolutely sure you have a backup copy of your fhcm.fhc file stored in a different version (different directory, different drive, different computer, etc).  Second, download the current version from the website and run the installer. (Note the trial version is the same as the full version after registration, so just download the newest trial version installer).  The new copy of FHCM will be installed but the database will be empty.   Third - BEFORE you enter any new data, you need to import your old data.  Go to the File menu and run the Import Previous Version command.  You'll get lots of warnings - no worries. Your old data should be imported and you'll be good to go. If the upgrade is a free one, your copy will retain your previous registration. Note: do not run the installer more than once without importing your old data.  If you did this inadvertently, please contact us.

What are the system requirements for FHCM?
  • CPU: Pentium 4 ; 1 GB of RAM (2GB preferred)
  • At least 200 MB free space on local drive
  • SVGA (1024 x 768) or higher resolution video adapter and display;
  • Windows 7, Windows 8, Windows 8.1 (32bit and 64 bit)
  • Windows 10 has not been tested but reportedly works fine
  • NOTE: Win XP no longer supported
Does FHCM run under Windows XP or Vista?

No, it doesn't.

Does FHCM run under Windows 8 and Windows 10?

Versions 1.50 and later are fully compatible with Windows 8.1. Versions 1.6 and later are fully compatible with Windows 10.

NOTE: FHCM is no longer compatible with WIndows XP or Windows VISTA.

Does FHCM run on any MAC operating system?

Nope, sorry. It could happen in the future, so let us know if you're interested.

Does FHCM Support Medicare or other Supplementary Insurance?

The current version of FHCM does not support supplementary insurance such as Medicare.  Although you can have multiple insurance plans, you can only enter payments from one of them in a given visit.  We are working on version 2 to have complete support for supplementary insurance, but as of now, no specific estimated date has been established.

My anti-virus software deleted/blocked FHCM installation or deleted/blocked the program when I went to run it.

Unfortunately, some anti-virus software (such as Norton 360) block programs that have limited download history and/or are very recent. In other words, if thousands and thousands of people haven't downloaded it, they mark it as untrustworthy. If this happens, you'll need to disable your antivirus program during installation and then re-enable. If your antivirus software blocks FHCM when you go to actually run it, you'll need to tell the software you know it to be safe. If this happens, please email support@fhcmsoftware.com with as much information as possible so we can contact the software manufacturer and report a false positive.

Can FHCM import data from Intuit’s Quicken Medical Manager?

Unfortunately, QMEM data is stored in a proprietary format. There is no way we're aware of to retrieve and decode it.

Does FHCM run on android or iOS devices?

Not currently. This may happen in the future, but please don't purchase FHCM if this is a critical feature for you.

Is FHCM actively being developed? Are there any planned updates?

Known Issues

The current version, under certain circumstances, will not upgrade the database to the newest version.  The installer may not replace your older version during the upgrade process.  We are working on this bug right now and hope to have it solved soon.

I have entered a lot of expenses, including payments, but FHCM still says my OOP costs are zero, or much less than they should be.

The value for OOP-Insurer (which is the value shown on the dashboard) is based on the insurer’s understanding of what you have paid.  This value will remain zero until the insurance status is marked Reimbursed since the program doesn’t know how much insurance paid until the claim has been processed. Check to make sure all the relevant visits are marked Reimbursed (or Denied/Dispute).

Okay, but even after I mark the visit Reimbursed the OOP-Insurer value still seems too small.

From the Insurer’s point of view, OOP cost is based on the difference between what they allow and what they actually pay.  Therefore, if the amount allowed for a service is less than what was billed, OOP-Insurer may well be less than what you actually are responsible for.  On the other hand, OOP-Patient (not shown on dashboard, but shown on both Service and Family Member detail screens), is based on what you actually are responsible for paying. (Note – it is not based on what you actually did pay – the assumption is that you did or will pay as much as you owe.

Is there any way to see how much I actually paid within a given period of time?

The Tax Deduction report is based on your actual payments rather than what you are responsible to pay, since tax deductions are usually dependent on when the payment occurs. (Note: you should consult an accountant to verify this)

When I try to edit something in a separate window, I get a message saying I can’t change it because it’s being edited in another window.

It’s not possible to edit the same thing (eg same visit) in two places at once. Normally this should not happen as FHCM goes to great lengths to prevent you from doing this.  However, should you somehow manage to do this, go back to the first window and click out of whatever field you were in. Then you should be able to make changes in the secondary window.

Sometimes when I change a value, totals don’t seem to immediately change.

Most calculated values update instantly, however in some instances, a calculated value may not update until you click somewhere outside that field, on a part of the screen that does not contain data. Click on a blank area to trigger a refresh and recalculation of data.

Why don’t I see the attachments area at the bottom of my Visit Details screen?

You may have the visit open in a windowed view.  If you view visits by clicking on the notebook icon from a list of visits, claims, EOBs, etc, the visit will open in a floating window.  This window does not have the full contents of the Visit Details screen.  It is intended for quick changes to a visit without losing your place in a list.  To see the attachment area, click the Visit Details button at the top of the list window.

Sometimes the Visit Window has a close button, other times it doesn’t

There are two ways to edit Visit details. If you click on the details view button from the List view (top left), you will switch your main window to the form or detail view.  This is also the view you open in when you create a new visit.  This view provides the most detail and access to all information for a visit.  There is no close button because this is the primary window.  You are not in a new window; you have changed the view for your primary program screen.  On the other hand, when you click one of the little notebook icons from a list view or a claim or EOB, you are opening an additional window.  This window has a reduced set of information - it is intended for reference or to make minor edits in a visit while working your way through a list.  The advantage is you maintain your position in the list - this allows you to go back and forth, working your way through the list, while tweaking your visits.  (Note: using keyboard shortcuts, you can change the visit shown in that additional window without closing it and going back to the list).   If you need to make major edits or access things like attachments or claim assignments, you should go to the primary visit detail view.

How can I make my visits sort so the most recent is first?

Right click on a date in the visit list, you will get a menu with options to sort ascending or descending.  This will work on many of the $ amount columns as well.  This is implemented in several places in the program, and will eventually be consistently available.

I just purchased the program. How do I get a registration code?

Currently, online activation for FHCM is not working. Please email support@fhcmsoftware.com with your name and Order number. We will get you a license within a few days, usually within 24 hours.  Note there are not separate trial and registered versions, and data entered while in trial mode will be retained even if your trial expires.  As soon as a code is entered, all your data is accessible.

Can I install on more than one computer? What if I get a new computer?

When you purchase FHCM, you are entitled to use it on as many computers as you want within your household. We are aware that many people move fluidly from a desktop to a laptop.  Your copy of FHCM is yours.  Any member of your family may use it.  You should not have to buy another copy for your family.  However, you may not use it outside your household nor give it to a friend.

If you reinstall FHCM without having formatted your drive, the license will remain intact.  However, if you get a new computer or have to wipe your entire drive, you will need to re-register it.  Many companies limit the number of times you can do this; FHCM Software does not. We don't think you should have to buy a new copy of our software just because you got a new computer.

We believe this is a very generous and reasonable policy.  Please do not abuse it.

What is your upgrade policy?

To date, all upgrades have been free to licensed users.  Minor upgrades will recognize your existing license.  Version 2.0 with full support for secondary insurance will be a paid upgrade.  Pricing has not been set but there will be a generous discount for existing customers.

I’m confused about the upgrade/import process. I thought I updated my program, but I still have the old version. I updated my program, and all my data are gone!

Here's how it works:

The program code, the database and your data are all contained in a single file:  fhcm.fhc.  This file is located in the Program Files\FHCM folder.  (Or on a 64 bit system, Program Files(x86)\FHCM.

When you first open the program, you should see an empty database, and if you look at the Help/About menu, you should see that the version number is higher.

Should you need to restore a backup, you will need to rename the appropriate file back to fhcm.fhc and replace the existing copy in ProgramFiles\FHCM with the backup. Note this will also restore whatever version of the program you had at the time of the backup.  You should then update to the newest version of the program and reimport your data.

My dashboard or other summary numbers just don’t seem right

Make sure you've associated the services with the insurer

Make sure you've set up your provider as in or out of network

Make sure you're entering your payments for the visit under co-insurance - not Copay (unless you have a fixed copay like in an HMO)

Make sure you've entered the amount in Insurer Allowed and how much the insurance company paid.

​Make sure the status on those visits is Insurance Reimbursed. ​

Can FHCM import or export my data?

Currently, FHCM can only import from earlier version of FHCM files.  You can export to an excel spreadsheet, which will be placed in My Documents\MyFHCM.  Two spreadsheets will be produced: one with list of providers and their data, and one with a list of visits and associated data.

FHCM cannot import from Intuit's old QEMM.  If you are aware of a way to read those data, do let us know!

Can I share the same database among multiple computers?

Unfortunately, the answer is "not easily".  The only way to use the same database with multiple computers is to physically copy it back and forth.  If you REALLY want to do this, you can copy the file fhcm.fhc from the Program Files\FHCM or Program Files(x86)\FHCM folder to whichever computer you want to work from.  We don't really recommend this as it's all too easy to end up corrupting the database.  Be sure the program is closed on both computers before doing this.  It would be wise to make sure you always have a current backup when you do this in case something goes wrong.

Things are messed up. I installed and reinstalled the program a bunch of times trying to upgrade and import. Now when I try to do the import, there doesn’t seem to be any data. Help!!!

Every time you install FHCM over a pre-existing version, it moves a copy of the current database to a subfolder called "previous" (as explained in another FAQ) and increments a number at the end.  Thus, the newest file in that folder is called fhcm.fhc, then fhcm0.fhc, then fhcm1.fhc, fhcm2.fhc, etc.

If you're run the installer multiple times, you've moved your data to one of those numbered files, and the newer ones may be empty.  When you try to import one of those empty ones, you may get an error.

The easiest solution is if you know that you have a full /current backup in the My Documents\My FHCM folder.  If you do, you can copy THAT file, rename it to just fhcm.fhc (remove the date) and put in the C:\Program Files\FHCM\previous folder. (You might have to create that subfolder).  Then immediately run the Import without doing any program installation.

If you don't have a current backup in that folder, but have it elsewhere, you can perform the above process with that file - whereever you have it.

If for some reason, you have no backup elsewhere, and you've done the install multiple times, you'll need to try to figure out which of the saved files contains your data.  You may be able to tell because it is much larger, or you may know what date you last entered data and can find it that way. If you can identify the right one, again rename it to fhcm.fhc  (you'll need to change the name on the existing - empty fhcm.fhc - IN THE PREVIOUS folder - not in the main program folder.

Unfortunately, the answer is "not easily".  The only way to use the same database with multiple computers is to physically copy it back and forth.  If you REALLY want to do this, you can copy the file fhcm.fhc from the Program Files\FHCM or Program Files(x86)\FHCM folder to whichever computer you want to work from.  We don't really recommend this as it's all too easy to end up corrupting the database.  Be sure the program is closed on both computers before doing this.  It would be wise to make sure you always have a current backup when you do this in case something goes wrong.

Things are messed up. I installed and reinstalled the program a bunch of times trying to upgrade and import. Now when I try to do the import, there doesn’t seem to be any data. Help!!!

Every time you install FHCM over a pre-existing version, it moves a copy of the current database to a subfolder called "previous" (as explained in another FAQ) and increments a number at the end.  Thus, the newest file in that folder is called fhcm.fhc, then fhcm0.fhc, then fhcm1.fhc, fhcm2.fhc, etc.

If you're run the installer multiple times, you've moved your data to one of those numbered files, and the newer ones may be empty.  When you try to import one of those empty ones, you may get an error.

The easiest solution is if you know that you have a full /current backup in the My Documents\My FHCM folder.  If you do, you can copy THAT file, rename it to just fhcm.fhc (remove the date) and put in the C:\Program Files\FHCM\previous folder. (You might have to create that subfolder).  Then immediately run the Import without doing any program installation.

If you don't have a current backup in that folder, but have it elsewhere, you can perform the above process with that file - whereever you have it.

If for some reason, you have no backup elsewhere, and you've done the install multiple times, you'll need to try to figure out which of the saved files contains your data.  You may be able to tell because it is much larger, or you may know what date you last entered data and can find it that way. If you can identify the right one, again rename it to fhcm.fhc  (you'll need to change the name on the existing - empty fhcm.fhc - IN THE PREVIOUS folder - not in the main program folder.

I just purchased the program. How do I get a registration code?

Currently, online activation for FHCM is not working. Please email support@fhcmsoftware.com with your name and Order number. We will get you a license within a few days, usually within 24 hours.  Note there are not separate trial and registered versions, and data entered while in trial mode will be retained even if your trial expires.  As soon as a code is entered, all your data is accessible.

Can I install on more than one computer? What if I get a new computer?

When you purchase FHCM, you are entitled to use it on as many computers as you want within your household. We are aware that many people move fluidly from a desktop to a laptop.  Your copy of FHCM is yours.  Any member of your family may use it.  You should not have to buy another copy for your family.  However, you may not use it outside your household nor give it to a friend.

If you reinstall FHCM without having formatted your drive, the license will remain intact.  However, if you get a new computer or have to wipe your entire drive, you will need to re-register it.  Many companies limit the number of times you can do this; FHCM Software does not. We don't think you should have to buy a new copy of our software just because you got a new computer.

We believe this is a very generous and reasonable policy.  Please do not abuse it.

What is your upgrade policy?

To date, all upgrades have been free to licensed users.  Minor upgrades will recognize your existing license.  Version 2.0 with full support for secondary insurance will be a paid upgrade.  Pricing has not been set but there will be a generous discount for existing customers.

I have entered a lot of expenses, including payments, but FHCM still says my OOP costs are zero, or much less than they should be.

The value for OOP-Insurer (which is the value shown on the dashboard) is based on the insurer’s understanding of what you have paid.  This value will remain zero until the insurance status is marked Reimbursed since the program doesn’t know how much insurance paid until the claim has been processed. Check to make sure all the relevant visits are marked Reimbursed (or Denied/Dispute).

Okay, but even after I mark the visit Reimbursed the OOP-Insurer value still seems too small.

From the Insurer’s point of view, OOP cost is based on the difference between what they allow and what they actually pay.  Therefore, if the amount allowed for a service is less than what was billed, OOP-Insurer may well be less than what you actually are responsible for.  On the other hand, OOP-Patient (not shown on dashboard, but shown on both Service and Family Member detail screens), is based on what you actually are responsible for paying. (Note – it is not based on what you actually did pay – the assumption is that you did or will pay as much as you owe.

Is there any way to see how much I actually paid within a given period of time?

The Tax Deduction report is based on your actual payments rather than what you are responsible to pay, since tax deductions are usually dependent on when the payment occurs. (Note: you should consult an accountant to verify this)

When I try to edit something in a separate window, I get a message saying I can’t change it because it’s being edited in another window.

It’s not possible to edit the same thing (eg same visit) in two places at once. Normally this should not happen as FHCM goes to great lengths to prevent you from doing this.  However, should you somehow manage to do this, go back to the first window and click out of whatever field you were in. Then you should be able to make changes in the secondary window.

Sometimes when I change a value, totals don’t seem to immediately change.

Most calculated values update instantly, however in some instances, a calculated value may not update until you click somewhere outside that field, on a part of the screen that does not contain data. Click on a blank area to trigger a refresh and recalculation of data.

Why don’t I see the attachments area at the bottom of my Visit Details screen?

You may have the visit open in a windowed view.  If you view visits by clicking on the notebook icon from a list of visits, claims, EOBs, etc, the visit will open in a floating window.  This window does not have the full contents of the Visit Details screen.  It is intended for quick changes to a visit without losing your place in a list.  To see the attachment area, click the Visit Details button at the top of the list window.

Sometimes the Visit Window has a close button, other times it doesn’t

There are two ways to edit Visit details. If you click on the details view button from the List view (top left), you will switch your main window to the form or detail view.  This is also the view you open in when you create a new visit.  This view provides the most detail and access to all information for a visit.  There is no close button because this is the primary window.  You are not in a new window; you have changed the view for your primary program screen.  On the other hand, when you click one of the little notebook icons from a list view or a claim or EOB, you are opening an additional window.  This window has a reduced set of information - it is intended for reference or to make minor edits in a visit while working your way through a list.  The advantage is you maintain your position in the list - this allows you to go back and forth, working your way through the list, while tweaking your visits.  (Note: using keyboard shortcuts, you can change the visit shown in that additional window without closing it and going back to the list).   If you need to make major edits or access things like attachments or claim assignments, you should go to the primary visit detail view.

How can I make my visits sort so the most recent is first?

Right click on a date in the visit list, you will get a menu with options to sort ascending or descending.  This will work on many of the $ amount columns as well.  This is implemented in several places in the program, and will eventually be consistently available.

Where does FHCM keep files? What are they named?
  • FHCM program files are installed in  C:\Program Files\FHCM or C:\Program Files(x86)\FHCM (on 64-bit systems)
  • The actual database - containing both data and code - is stored in the above folder in the file fhcm.fhc. This is the file to save if you wish to manually back up your data.
  • The automatic backups go in My Documents\My FHCM\*.fhc (there would be multiple files with date appended) .  The frequency of these backups is determined by the setting in Preferences.  You must quit the program and restart it for automatic backups to happen.
  • During the upgrade/install process - if an older version of FHCM already exists, the current database fhcm.fhc will be moved to a subfolder --

 C:\Program Files\FHCM\previous\ or C:\Program Files(x86)\FHCM\previous (on 64-bit systems)

  • If you run the installer a second time without imported your data into the new version - this process will be repeated.  Within the \previous\ subfolder, each succeeding previous copy of fhcm.fhc will get a higher number added to it.  Thus the higher the appended number, the older the database.  You should NOT keep re-running the installer without importing your data.  However, if you do - you will be moving empty copies of the database into the previous folder.
My dashboard or other summary numbers just don’t seem right

Make sure you've associated the services with the insurer

Make sure you've set up your provider as in or out of network

Make sure you're entering your payments for the visit under co-insurance - not Copay (unless you have a fixed copay like in an HMO)

Make sure you've entered the amount in Insurer Allowed and how much the insurance company paid.

​Make sure the status on those visits is Insurance Reimbursed. ​

Can FHCM import or export my data?

Currently, FHCM can only import from earlier version of FHCM files.  You can export to an excel spreadsheet, which will be placed in My Documents\MyFHCM.  Two spreadsheets will be produced: one with list of providers and their data, and one with a list of visits and associated data.

FHCM cannot import from Intuit's old QEMM.  If you are aware of a way to read those data, do let us know!

Can I share the same database among multiple computers?

Does FHCM run under Windows XP or Vista?

No, it doesn't.

Does FHCM run under Windows 8 and Windows 10?

Versions 1.50 and later are fully compatible with Windows 8.1. Versions 1.6 and later are fully compatible with Windows 10.

NOTE: FHCM is no longer compatible with WIndows XP or Windows VISTA.

Does FHCM run on any MAC operating system?

Nope, sorry. It could happen in the future, so let us know if you're interested.

Does FHCM run on android or iOS devices?

Not currently. This may happen in the future, but please don't purchase FHCM if this is a critical feature for you.
